These guidelines regulate what we – the “World Robot Olympiad Switzerland” (WRO Switzerland) and our umbrella organization “Science Olympiad” (WO) – do with your submissions and contact details and which data we can publish and pass on to third parties. Fundamentals

We at WRO Switzerland take the protection of personal data seriously. We treat personal data confidentially. Together with our providers, we endeavor to protect our websites and databases as well as possible from access by third parties and from misuse.

Personal data will only be used in connection with the WRO competitions and Science Olympiad activities. The rights to information, correction, deletion, restriction and objection are guaranteed.

Subscribers to newsletters and other means of communication can request to be removed from the distribution list at any time.

Login data

The coach registers the entire team for the competition. He/she records the team name, first and last name, date of birth, gender, place and canton of residence, school, telephone number and e-mail address and food requirements of the team members and him/herself. We use this information for the following purposes:

  • Organization and internal evaluations: Most of the data mentioned above is used by our organization team to prepare and properly run and evaluate the WRO competitions (e.g. age group verification, food ordering or statistics for our support partners).
  • Contact: Contact before and during the competition is mainly via the responsible coach. Your coach and you will receive information about our events and other scientific competitions from us or from the WO by email or post before, during and after our competitions. The team members receive the relevant information for the competitions from the coach.
  • Newsletter: We send out an e-mail newsletter at irregular intervals. If you no longer wish to receive e-mails from us, simply let us know.
  • Schools: We will ask you for your school so that we can write to them in subsequent years with our information material. We will only inform them of your participation in the event of your outstanding performance (qualification for the finals, win, etc.).
  • Media: We will only pass on your contact information (telephone number and e-mail) to the media with your explicit permission. Normally, contact is made via the coach.
  • Third parties: Personal data will only be passed on to trustworthy third parties who help us in the direct fulfillment of our tasks (e.g. our newsletter partner, the printing company for certificates or the organizers of the regional competitions). Otherwise, we do not pass on contact details to other third parties such as our support partners without consent.

Particularly sensitive personal data

For trips to international competitions, we often require additional information and may ask the coach and team members for health information, ID numbers, passport copies and visa details, as well as contact information for emergencies. We treat this information as strictly confidential and only pass it on to third parties where absolutely necessary, for example to airlines or hotels, embassies for visa applications or to local organizers.

Photos and videos

We take photos and film footage at our workshops and competitions, as well as on our travels, to capture our impressions of the World Robot Olympiad. We put these online in galleries and as videos and, in some cases, label them with the names of the competition participants. We use them for our printed materials and show them at our events. We reserve the right to allow third parties (such as the media and supporting partners) to take pictures and/or use our photos and videos.

Rankings

For each of our competitions, we create a ranking list with the team names, the names of the team members and the registered location of the team, as well as the score, award and ranking. We make these rankings publicly accessible on our website for an unlimited period of time. We are of the opinion that even a place in the lower ranks at the WRO is an outstanding achievement, in the spirit of the Olympic ideal that “Taking part is everything”.

Media releases and reports

During and after competitions and trips, we produce media releases and reports consisting of results, photos and quotes by the participants. We publish these online and also send them to the media, schools and our support partners.
